Grafton Public Library Trustees Meeting Minutes

December 17, 2015, 6:30 pm

Attending:  Bob Donald, Lucia Corwin, Andrea Dunmire, Christopher Schemm, Deborah Toomey, librarian Michelle Dufort.

Bob Donald brought the meeting to order at 6:35 p.m. The minutes from November 16, 2015 were approved.

Librarian’s Report

Michelle has completed a draft financial report for the Town and the Auditors. All the papers and the filings are complete with everything prepared for the state reports as well.

Gus Plummer will be contacted again to fix the ballast in the non-working light fixture.

Michelle is handling every book as the collection becomes automated. She’s using this opportunity to re-evaluate books in the collection. For example, she’s found several that she’s moved to the Vermont collection and others that have been placed in the local Grafton collection.

The Vermont Country Store has given the Library a gift of $200 for which we are most appreciative.

Treasurer’s Report

The library budget is right on schedule and copies of the statement were distributed to the Board.

Requesting additional funds from the Selectboard was discussed. The Board decided that we should do so next year when we can show that we’ve had the additional expense of painting the library and removing the trees.

Building and Grounds

In regards to taking down the diseased trees on the Library lawn,  the Select Board decided that they were unable to assist the Library at this time. Since the trees need to be removed, the Board accepted the bid from Melvin Rice. Deborah will contact him with the decision.

Kent Haskell, the successful bidder for painting the library, was contacted by Lucia. Weather depending, Mr. Haskell will begin painting in June 2016.

Other Business

A memorial for Jerry Stevens needs to be decided upon. The Board is waiting for the Stevens family to decide what they would like. One suggestion was to provide a reading bench or a bench and table for people to use to access the WiFi either when the Library is closed on when it’s a lovely day outside.

All the fundraising letters have been sent. It is recommended that we get it out in a more timely manner next year. Christopher commended Andrea for the best fundraising letter he’s seen in his tenure on the Board.

Cleaning and weeding materials from the Library’s attic was discussed, but no decision will be made until the collections are automated. The Library also has an antique doll collection that needs to be assessed.

The meeting was adjourned at 7:30 p.m.

Respectfully submitted,

Deborah Toomey
