Grafton Public Library Trustees
Special Meeting Minutes
September 26, 2015, 9:00 a.m.
Attending:
Bob Donald, Andrea Dunmire, Deborah Toomey, librarian Michelle Dufort
Bob Donald brought the meeting to order at
9:06 a.m.
The minutes from September 17th’s
meeting were not approved since there was not a quorum of attendees at that
meeting present.
Building
and Grounds
Bob noted that Ivor Stevens had not been to
the library yet to fill the dips in the Library’s lawn. At the meeting on the
17th, Lucia Corwin indicated that Ivor has been telephoned about
starting this needed work. Michelle reported that there is a lot of surplus
fill at the new town garage. Perhaps if Ivor is either not interested or is too
busy to handle filling the holes, the town would be willing to fill the holes,
or Ivor could use the free town fill, saving the library money. This is
especially needed since the proposed Library budget for next year has a deficit
of $1,486. Andrea Dunmire indicated that she would call Ivor to learn his
thoughts. If he is still interested, the Board felt that even though no
contract had been signed, we had a verbal agreement with him on the work, and
he should proceed.
The Board has received three proposals
regarding the damaged maple and pine trees on the Library lawn. However,
Michelle reported that the Town of Grafton has a budget line item for tree
removal. If the maple actually falls on Kidder Hill Rd., the Town will have to
remove it. They may be willing to remove it before it becomes an issue for
them. They could also be asked about the pine tree. Pat Mack of the Grafton Improvement
Association indicated that they could be approached as well regarding the
trees. One of their primary missions is to care for Grafton’s parks, and
certainly the Library lawn is used for town events such as the Holiday tree and
the Memorial Day celebration and can be considered one of Grafton’s parks.
The Board moved (Deborah) and seconded
(Andrea) that the Library Board approach tree removal by taking action in the
following order:
1. Ask the Select Board to handle tree removal.
Bob will contact Rachael to get this item on the agenda for the next board
meeting of October 5. If the Select Board is unable to do tree removal,
2. Approach the Grafton Improvement Association
after Pat Mack returns from vacation October 19th. If the GIA is
unable to assist,
3. Then, and only then, accept Melvin Rice’s
proposal.
Other Business
Michelle stressed how important it is that a
Board member attend the upcoming Library book discussion of “Daisy Turner’s
Kin” which will be held at the Library this Wednesday, September 30th.
If registration for the discussion holds, it will be a very well attended event
and a Board member should attend and thank people for their participation.
Michelle reiterated that there was no need to have read the book, but to be
there at the beginning of the discussion to show the Board’s support of Library
programs. Deborah expressed regret that she could not attend since she will be
out of the country. Andrea will be out of state and unable to attend, and Bob
cannot attend due to a previous commitment. Michelle indicated that Lucia
Corwin said she would try to make it, and the Board hoped that Christopher and
his wife would be able to attend as well.
The Library’s flower beds and gardens need
attention in preparation for fall. Bob moved and Andrea seconded that Michelle
ask Josh Brown to perform this necessary task.
The next meeting of the Board will be held on
Thursday, October 15th at 6:30 p.m.
